  • Description

The Purchasing Coordinator will be integral to ensuring seamless procurement operations that support multiple branches and warehouse functions within a busy manufacturing environment. This role exists to maintain and enhance the accuracy and timeliness of purchase order processing, drop shipments, and special customer orders, providing essential administrative support that underpins operational efficiency. By coordinating purchasing activities and maintaining clear communication between suppliers, branches, and warehouse teams, the successful candidate will play a vital part in sustaining supply chain fluidity that aligns with broader business objectives.

Day-to-day responsibilities revolve around assisting branches with the creation, tracking, and monitoring of purchase orders to guarantee their timely fulfilment. The Purchasing Coordinator will serve as the central point of contact for warehouse teams, working closely to resolve any purchasing issues that may affect inventory flow and delivery commitments. Handling drop shipment orders and managing special orders will require detailed coordination across multiple stakeholders to ensure all requirements are met accurately and on schedule. Monitoring back orders and liaising with suppliers to expedite delayed deliveries will also be key elements of this role’s operational delivery.

Working extensively within an ERP system environment, specifically Microsoft Dynamics 365 Business Central, the Purchasing Coordinator will be expected to maintain accurate vendor records, update item master data, and support new vendor onboarding. Proficiency in Excel, including advanced features such as VLOOKUPs and PivotTables, will be crucial for managing data, resolving discrepancies, and assisting with the reconciliation of invoices alongside accounts payable and warehouse personnel. This technical fluency will support the efficient resolution of purchasing variances and strengthen internal controls within the procurement cycle.

This full-time, permanent position operates from a corporate office in Charlotte, NC, Monday through Friday during standard daytime hours. It is ideally suited to candidates who thrive in structured environments where accuracy and the ability to multitask are paramount. The role demands strong written and verbal communication skills to provide effective guidance on purchasing procedures and system usage, both internally and to branch offices.

The successful candidate will bring a minimum of two years’ experience in purchasing or procurement functions, combined with a strong capability to prioritise competing demands without compromising attention to detail. While a high school diploma is the minimum educational requirement, preference is given to those holding an associate degree or higher. Fluency in English is necessary to effectively interact with vendors and internal teams, ensuring clarity and precision in all communications.

As part of the benefits package, comprehensive health, dental, vision, disability, and life insurance coverage is provided, alongside paid time off including holidays and a designated birthday holiday. A 401(k) plan with company matching demonstrates commitment to long-term employee welfare, while paid parental leave reflects support for work-life balance.

This role is well-suited for professionals looking to contribute specialist expertise within a manufacturing sector focused on chemicals. It offers both the scope to impact operational purchasing processes and the chance to work closely with a variety of stakeholders in a technology-enabled, process-driven environment. The Purchasing Coordinator will play a central role in supporting smooth operations that underpin the wider business, ensuring procurement activities contribute directly to reliable supply and customer satisfaction.
